Meeting Notes · Last updated 28 October 2026
Meeting Notes is a personal iPhone app that records a meeting, transcribes it, and emails the transcript to an address you choose. This policy describes what the app does with your data. In short: your recordings stay on your phone, and the developer of this app never receives them.
No servers, no collection
Meeting Notes has no backend. There is no server operated by RhameAI or by the developer that your data passes through or is stored on. The app contains no analytics, no crash reporting, no advertising and no third-party tracking of any kind. The developer receives no data about you or your use of the app.
Audio recordings
Audio is recorded to a file in the app's private storage on your iPhone. It is never uploaded anywhere. Once the transcript has been emailed successfully, the app deletes the audio file. If sending fails, the audio is deliberately kept on the device so the transcript can be produced again, and it is deleted once the email goes out.
Transcription
Speech is converted to text using Apple's speech recognition on the device, with on-device recognition required. The audio is not sent to Apple's servers or to any other transcription service. If your iPhone cannot perform on-device recognition, transcription fails rather than falling back to a network service.
The transcript is sent as an email through the Gmail API, from your own Google
account, to the recipient address you enter in the app. The app uses the
gmail.send permission, which allows sending mail only. It cannot
read, search, modify or delete anything in your mailbox.
The transcript text is included in the body of that email. Once sent, the message is handled by Google under Google's privacy policy, and by whatever mail provider the recipient uses.
Google sign-in
Signing in stores a Google refresh token and the email address of the signed-in account in the iOS Keychain on your device. These are used only to obtain access tokens for sending mail. They are not transmitted anywhere other than Google, and signing out deletes them from the device. You can also revoke the app's access at any time from your Google Account permissions page.
Calendar
If you grant calendar access, the app reads events around the time of a recording so it can suggest who the meeting is with. Calendar data is read on the device, used only to fill in that suggestion, and is not transmitted or stored anywhere. Declining calendar access does not prevent the app from working.
Microphone and speech recognition
The app requests microphone access in order to record, and speech recognition access in order to transcribe. Both are used only for those purposes.
Data retention and deletion
All app data — recordings, transcripts awaiting send, and your sign-in credentials — lives only on your iPhone. Deleting the app removes all of it. There is nothing stored elsewhere for the developer to delete on your behalf.
Children
Meeting Notes is a personal tool and is not directed at children.
Changes
If this policy changes, the revised version will be posted on this page with an updated date.
